Learn about Encrypted Email

Overview

Encrypted Work provides an easy to use encrypted email solution, only the email recipient can decrypt the email message and access any files attached to it.

Encrypted Work email represents a huge technological leap forward compared to regular email.

Standard email is insecure by design, you should never send confidential information using standard email.

Sending confidential emails

When sending confidential messages you should select the confidential slider button to On. This setting determines what happens to emails sent to people who are not yet using Encrypted Work (people who already use Encrypted Work ALWAYS receive emails securely).

If a message is sent with the confidential setting On the recipient will authenticate with Encrypted Work before they can access the message and any attached files.

If a message is sent with the confidential setting Off the recipient can access the message and files by following the link, they will not need to authenticate with Encrypted Work.

Password protecting an email

To password protect an email enter a password in the password field when composing a message.

The recipient will need to enter the password before they can access the email.

Use your own email client to send a message

If you would like to customize the text you send with an Encrypted Work email select the slider labelled “Just create a link don't send an email” to On.

When you click send rather than Encrypted Work sending the email a link will be created which you will copy and paste into your own email client thus giving you full control over the email text of the message you send.

Sending a text message link to your recipient

You can send a text (sms) message to the recipient of your message using Encrypted Work, simply enter their mobile phone number when composing your message (ensure you also select the correct country from the dropdown selection).

If you enter a mobile number the recipient will receive a text message informing them they have a secure Encrypted Work message along with a link to access the message.

Retract an email after you have sent it

If you send a message in error it can be retracted (provided the recipient has not already accessed the email).

To retract a message after it has been sent, open the message in your sent view and click the button labelled “Retract” - if the retract button is not visible it means the recipient has already accessed the message.

Privacy - specify who can send you messages

You specify who can contact you using Encrypted Work in your settings (click your profile picture and select Settings to access settings).

Select the Privacy tab and click the field labelled "I will accept messages from" and select the desired option.

Also select the desired option in the field labelled "What happens to rejected messages?" to determine how to handle messages that do not meet your screening criteria.

Save files from an Email to a vault for long term storage

If you receive an Email and want to save the file attachments from it for long term secure storage click the button labelled "Save to vault" - this will create a new vault and save all teh files to the root folder of the vault.

Integration with Google Drive / Dropbox / Microsoft OneDrive

Files received using Encrypted Work can be seamlessly and securely pushed to other cloud storage solutions.

You can turn on integration with Google Drive / Dropbox / Microsoft OneDrive by accessing your settings and clicking on the Integrations tab.

After authorizing a third party cloud provider such as Google Drive you will see a toggle button turning this on and off determines if files are pushed to your third party cloud service - after making any changes please ensure you click the save button.

Overview

Encrypted Work allows you to securely send encrypted files, when you want to send files you simply attach the files using the Encrypted Work Email Application. With Encrypted Work you can attach and send files up to 5GB per file (200 times larger than regular email attachments).

The files are encrypted with powerful AES 256 encryption and only accessible to the intended recipient(s).

Send files up to 5000 MB

To send files you use the Encrypted Email tool, simply compose an encrypted email and use the paper clip icon to attach files to the email.

Regular email can send files up to 25 MB, Encrypted Work can send files up to 5000MB.

You can attach multiple files, each with an individual file size of up to 5000 MB (5GB).

Encrypted Work uses AES 256 bit encryption with 1,024 bit key-strength for data at Rest and FIPS 140-2 compliant TLS encryption for data in transit so you can be assured that files you send with Encrypted Work are safe and secure.

Sharing files from a Vault

Overview

Encrypted Work provides Vaults to store your business critical files and documents.

Vaults are encrypted with powerful AES 256 encryption. Vaults offer up to 3 factor authentication for the most secure storage system available today.

Sharing files from a Vault

You can share files from any folder within a vault, to share files within a vault click the “Share” action in the left hand menu. This will then create a share link and a button labelled “Copy Link” will appear, click that link to copy your share link to the clipboard and then share this link with anyone you want to give access to.

Note you can also password protect the folder share by clicking “Settings” in the vault left hand menu then adding a password in the settings area.

Sending files from a vault to someone else

To send the files from a folder to someone else click the “Send” button in the left hand vault menu - this will compose an Encrypted Email and attach the files to the email ready for you to send.

Password protecting a vault folder

You can add an additional layer of security to a folder within a vault be adding password protection.

To password protect a vault folder click “Settings” in the vault left hand menu then add a password in the settings area, slide the password protection button to On and click save.

Protect a vault folder with Two Factor Authentication

You can add an additional layer of protection to a folder within a vault by enabling Two Factor Authentication for the folder. This will require you to enter a code sent to your mobile phone before the vault folder can be opened.

To protect a vault folder with 2FA click “Settings” in the vault left hand menu then turn on 2FA in the settings area and click save.

Note if the vault folder is shared then the “Two Factor Authentication” slider button will not be available.

Overview

Encrypted Work enables you to securely receive files from your customers and clients using file upload pages. All the sender needs is a web browser, the files you receive are deposited in your Encrypted Email inbox. You can create as many file upload pages as you require. File upload pages can also easily be embedded on your company website providing a secure gateway to receive confidential files.

Integration with Google Drive / Dropbox / Microsoft OneDrive

Files received using Encrypted Work can be seamlessly and securely pushed to other cloud storage solutions. First you need to ensure the integration is set up and enabled:

You can turn on integration with Google Drive / Dropbox / Microsoft OneDrive by accessing your settings and clicking on the Integrations tab. After authorizing a third party cloud provider such as Google Drive you will see a toggle button turning this on and off determines if files are pushed to your third party cloud service.

Once you have third party cloud storage integration configured you should edit a File Upload Page and enter the folder name in teh field labelled "Folder name - this is the name of the folder where files will be saved in your cloud storage such as Google Drive, OneDrive or Dropbox" where you would like files uploaded from teh page to be stored in your third party cloud storage. Note this folder will be automatically created the first time the File Upload Page is used.

Sharing your File Upload Pages

File Upload Pages can be shared in several ways:

  • Send a link to the page
  • Include a button on your own website
  • Share a QR Code which links directly to your page
  • Embed the upload tool on your own website
  • Include a link to the page in your email footer
Embedding File Upload Pages on your own website

You can embed a File Upload Page on your own website providing a secure and easy way to receive files from your customers and clients.

To embed a File Upload Page on your own website edit the page and grab the HTML embed code, have your developer place this code where you would like the File Upload widget to appear.

Overview

Encrypted Work automatically organises the people you collaborate with into Connections. You are in control of who can contact you based on the criteria you define.

Privacy - specify who can send you messages and restrict to just your connections

If you specify that only your connections can send you messages there are two ways your connections are added to Encrypted Work.

One - connections are automatically added when you send someone an encrypted email they are added to your contacts.

Two - you can select Connections and manually add a Connection, NOTE if you want to allow everyone from a particular domain then just add the domain name e.g. microsoft.com
